We can’t officially endorse third-party fundraisers because it creates tax issues for us, but we very much welcome them. If you would like some ideas for how to run a fundraising event for the OTW, contact the Development and Membership Committee.
Unless you request otherwise, OTW will gratefully publicize the amount of money raised by your event. We will thank all your attendees personally (if they/you provide a list of e-mail addresses) and/or as a group via our newsletter, website, news journals and other announcement avenues.
If you provide a list of e-mail addresses the OTW will treat these confidentially in accordance with our privacy policy.
Does the OTW endorse third-party fundraisers?
No. However, we are happy if someone wants to raise money and donate it to us. Fans are welcome to download flyers or membership forms from our website, and either to pass the hat and donate the proceeds or to do membership drives for us, collecting and submitting checks and filled out PDF membership forms. In neither case does the OTW formally endorse any third party activity. As with any third-party drive, donors give at their own risk.
Do we require any bona fides from the third party organizer?
No. We are not responsible for advertising or claims made by anybody else. As with any third-party drive, donors give at their own risk; hopefully most people will be honorable, as they are in most charity drives.
Are there good times and bad times for folks to host fundraisers on the OTW’s behalf?
Any time is a good time to collect donations to the OTW! Please note that the OTW will only receipt the single sum donation from the event, not individual costs and income. Event donations of this kind cannot confer membership on any individual (unless accurate PDF membership forms and verifiable and individualized checks are submitted as part of a proper membership drive).
What if five fans want to hold five separate events at the same con?
The more the merrier. We’re always happy when people pass the hat for us, and we’re happy to provide suggestions and free downloadable materials to help.
Do we require approval of promotional literature and invitations?
No; we can’t control other people’s advertising. However, we do offer free downloadable flyers and other materials for you to use.
Do we allow use of OTW logos on promotional literature and invitations?
We (plan to) have a page of downloadable logos and other materials that can be used to promote events.
Tax Deductibility
The IRS has approved OTW's tax-exempt, nonprofit status. Regardless, individual receipts, tax-deductible or otherwise will not be issued for funds raised by third-party events. The OTW encourages you to provide a computer with internet connection so that participants can become members or make direct donations online, which donations will be receipted, if they wish. (Alternately you can print out copies of our PDF membership/donation form and make them available for postal mailing, as in a formal membership drive.) If the donor notes your third party event on the donation form, this income will be included in the total reported as raised by your fundraiser. (So make sure they let us know!)
